Free Professional Email Signature Creator

A professional email signature is one of the simplest ways to build credibility with every message you send. It tells the recipient who you are, what you do, and how to reach you — without requiring them to search. This tool lets you create a polished, HTML-formatted email signature in minutes. Fill in your details, choose a template, add social media icons, and copy the result directly into your email client. No sign-up, no subscription, no watermark.

Why Your Email Signature Matters

The average professional sends 40+ emails per day. Every one of those emails is an opportunity to make an impression. A well-designed signature with your name, title, company, and contact links reinforces your brand and makes it easy for people to connect with you. An inconsistent or missing signature, on the other hand, looks unprofessional and makes it harder for recipients to find your phone number, website, or social profiles when they need them.

Social Media Icons That Actually Work

Most email signature generators either skip social links or rely on embedded data-URI images that email clients strip. This tool uses self-hosted social icons on SmarterSources for major platforms, which paste more reliably into Gmail, Outlook, and Apple Mail, and falls back to email-safe styled links where needed. You can toggle each platform individually, choose between brand colors, a custom color, or monochrome, and pick from three styles.

Table-Based HTML for Maximum Compatibility

Email clients do not render HTML the same way browsers do. Gmail strips most CSS. Outlook uses Microsoft Word's rendering engine. Apple Mail is the most forgiving. To work across all of them, this tool generates signatures using table-based layouts with inline styles — the only approach that reliably works everywhere. No div tags, no flexbox, no external stylesheets. Just clean, portable HTML that pastes correctly into any email client.

Frequently Asked Questions

How do I add my email signature to Gmail?

Click "Copy Signature," then go to Gmail Settings, click "See all settings," scroll to the Signature section under General, click the compose area, and paste with Ctrl+V or Cmd+V. Click Save Changes at the bottom.

Does this work with Outlook?

Yes. For Outlook desktop, go to File → Options → Mail → Signatures, create a new signature, and paste. For Outlook on the web, go to Settings → Mail → Compose and reply, and paste into the Email signature box.

Will the social media icons show up in all email clients?

For best compatibility, the tool uses self-hosted social icons for major platforms and email-safe styled link fallbacks instead of embedded data-URI images. This pastes more reliably in Gmail, Outlook, Apple Mail, and other clients.

Is my data private?

Yes. Everything runs in your browser. Your contact information, photo, and settings are saved to your device only using localStorage. Nothing is sent to any server.

Can I add a company logo instead of a photo?

Yes. The photo upload field accepts any image. Upload your company logo and choose between circle, square, or oval shapes. You can also add a border with a custom color. For best results, use an image under 500KB.

Why does my signature look different in some email clients?

Email clients render HTML differently. This tool uses table-based layouts with inline styles, which is the most compatible approach. However, some clients like Outlook desktop may slightly adjust spacing or fonts. The signature is designed to look good across all major clients.
